The Role

The Executive Assistant at The Landline Company is an integral part of our team in Northern Colorado. Reporting to our co-founders, this position is responsible for supporting executive leadership and maintaining the look and feel of our primary office location in Old Town, Fort Collins.

Responsibilities

  • Manage executive calendars by planning and scheduling calls, meetings, and conferences across different time zones and adjusting for last-minute changes
  • Prepare and coordinate documents for the executive team prior to meetings; proactively handle logistics for meetings
  • Track deadlines and calendared events; resolve conflicting needs; handle matters expeditiously and proactively
  • Communicate with internal and external stakeholders with professionalism, discretion and timeliness
  • Make travel arrangements and changes as needed; prepare expense reports
  • Occasional business travel in support of responsibilities
  • Maintain office space, including ordering supplies and vendor management
  • Promote employee engagement through coordination of office events
  • Other tasks and duties as assigned

Key Responsibilities

  • Calendar & Schedule Management: Manage the executive’s calendar, including scheduling meetings, coordinating travel arrangements, and ensuring timely responses.
  • Project Coordination: Assist with ongoing projects, helping to track progress, ensure deadlines are met, and communicate across teams.
  • Communication Liaison: Act as the first point of contact between the executive and internal/external stakeholders, managing communication flows.
  • Meeting Preparation: Prepare agendas, presentations, and supporting documents for meetings. Attend meetings to take minutes and ensure follow-up on action items.
  • Travel Coordination: Arrange domestic and international travel, accommodations, and itineraries.
  • Administrative Support: Manage expenses, process invoices, and assist with other administrative duties as required.
  • Event Planning: Organize internal and external events, meetings, off-sites, and company retreats.
  • Confidentiality & Discretion: Handle sensitive information with the highest level of confidentiality and professionalism.
  • Adaptability: Take on ad-hoc tasks and special projects as needed to support the startup’s fast-paced and evolving environment.

Qualifications

  • Experience: 3+ years of experience as an Executive Assistant, preferably in a startup or fast-paced environment.
  • Tech-savvy: Proficient in productivity tools such as Google Workspace, Microsoft Office Suite, project management software (Asana, Trello), and communication tools (Slack, Zoom).
  • Strong Organizational Skills: Ability to manage multiple tasks, prioritize, and maintain attention to detail in a dynamic environment.
  • Excellent Communication: Strong written and verbal communication skills. Able to draft professional correspondence on behalf of the executive.
  • Problem Solver: A proactive approach to problem-solving with strong decision-making capabilities.
  • Flexible & Adaptable: Ability to handle last-minute changes and work in a fast-changing environment.
  • Confidentiality: Ability to maintain confidentiality and handle sensitive information with discretion.
  • Bachelor’s Degree: Preferred but not required.
  • Passion for the Landline mission and desire to work in the travel industry
  • Proactive – able to anticipate the next step without having to be directed
