Summary
We are looking for a Sr. Events Program Manager. The ideal candidate for this role is strategic and thoughtful with strong follow-through. They should enjoy building operational infrastructure as well as managing the systems daily through team collaboration and communication. This role requires a high-level thinker capable of aligning project-level operations with division-wide strategies, ensuring seamless planning and execution of events.
The Sr. Events Program Manager (SEPM) will partner with the operations leadership team to develop and implement comprehensive project management frameworks for our experience (events) division.
The SEPM will design a macro project management strategy for projects ranging from complex conferences to custom incentives. They will then partner with division leadership to roll it out to the division, including training and implementation. Finally, the SEPM will own the day-to-day management of this macro project management system throughout the division. Throughout the project lifecycle, they will partner with the account teams to ensure each project stays on time and on budget. At the division level, they will use insights from their macro project management to make proactive decisions on timing and resources and communicate the necessary updates to the appropriate personnel.
You’ll spend your days on the following:
Event Program Management:
- Create macro project timeline for each event reflecting major milestones throughout planning.
- Schedule and facilitate project team check-ins throughout planning to ensure deliverables and budget are on track.
- Apply updates from each account team throughout planning to the overall project plan and identify implications of those changes. Regroup with account teams to ensure adjustments are made and necessary items are communicated to the client.
- Raise budget or deliverable issues to Account Director and partner with them to lead project team through resolution.
- Travel onsite for major projects (2-3 times per year).
Macro (Division) Program Management:
- Partner with operations leadership to develop a division macro project management system that captures key project milestones and provides an aerial view to all.
- Design scalable project management frameworks to streamline processes and improve efficiency across multiple projects and divisions.
- Establish metrics and KPIs to monitor project performance, making data-driven adjustments as needed.
- Roll out macro project management system to division including training and implementation.
- Review scope for new projects and enter project needs, milestones and effort into macro project management system.
- Daily review of macro project needs across the division to anticipate and mitigate potential project issues and significant commitment overlaps. Identify solutions and drive through to execution with project teams.
- Develop and implement risk management strategies.
- Oversee resource planning and allocation to ensure optimal utilization and project success.
- Synthesize workflow trends and opportunity areas to division leadership.
- Identify and address gaps in current project management practices, recommending and implementing improvements.
What you need to be successful in this role:
- 7+ years' experience in project management with experience in designing and implementing project management solutions at a macro level.
- PMP or similar certification preferred.
- Experience in the events industry is a plus.
- Strong strategic thinking and problem-solving abilities.
- Excellent organizational and leadership skills.
- Effective communication and interpersonal skills.
- Ability to work collaboratively with cross-functional teams.
- Multi-tasker with ability to prioritize.
- Flexible and reactive to changing team and client needs.
- Strong organization and follow through
- Proficiency in project management software (e.g., Microsoft Project, Asana, Trello).
