In-Person Event Support | Project Coordination | Client-Facing

Duration: January–June 2026 (with potential for future project work)

We’re hiring experienced contract Event Coordinators to support our spring event season. This is a remote, project-based opportunity for professionals who thrive in fast-paced environments and enjoy themo variety and challenge of coordinating high-impact, in-person events.

You’ll collaborate with internal teams to support a wide range of events, including conferences, incentive travel, road shows, and more. If you’re a detail-driven planner with a track record of successful event execution and a passion for creating exceptional experiences, we’d love to connect.

What You’ll Do

  • Manage attendee communications and registration (hotline, email, mailings).
  • Maintain and organize event databases: data entry, proofing, and reporting.
  • Draft and edit content for event websites and communications.
  • Execute administrative tasks: cross-checking, printing, shipping, and inventory coordination.
  • Research venues, destinations, and vendors to support planning.
  • Assist with booking travel, lodging, and activities for in-person events.
  • Participate in client calls and internal meetings; capture notes and track action items.
  • Support onsite event execution (5–10% of the time), which may include travel or remote coordination.
  • Contribute ideas to event concepts and assist with proposal development.

Who You Are

  • You have 1–3 years (or more) of hands-on experience in event coordination, hospitality, marketing, or a related field.
  • You’re a highly organized, detail-oriented professional who thrives in deadline-driven environments.
  • You’re a strong communicator who’s comfortable working with clients and cross-functional teams.
  • You’re a self-starter who takes initiative and solves problems proactively.
  • You’re adaptable and resourceful, with a positive attitude and a collaborative spirit.
  • You’re proficient in Microsoft Excel and Word; experience with event platforms is a plus.
  • You’re available for occasional travel and extended hours during event execution.
